Blue Diamond Transfers allows you to book chauffeur services for someone else under your own account, making it easy to arrange travel for executives, clients, staff, or family members.
This article explains the difference between guest bookings under an individual account and Corporate Accounts, including how EAs and PAs can manage bookings for executives โ even when those executives book for themselves.
Booking for a Guest Under Your Individual Account
When using our web booking system, you can nominate that a booking is for a guest.
This allows you to:
- Make a booking under your own individual account
- Enter the passenger’s name and contact details
- Retain full control of the booking
- Have payment handled under your account after the trip
This option is commonly used by:
- Executive Assistants and Personal Assistants
- Individuals booking for family or friends
- Business travellers arranging transport for clients or colleagues
The passenger is treated as your guest and does not need to manage the booking themselves.
Using Guest Bookings as an EA or PA
EAs and PAs can absolutely use guest bookings under an individual account, particularly for:
- Occasional bookings
- Booking for one or two executives
- One-off client or visitor transfers
However, for frequent bookings or when managing multiple executives, a Corporate Account provides significantly more control and visibility.
Corporate Accounts for EAs and PAs
A Corporate Account is designed for organisations and assistants who manage regular, multi-user travel.
With a Corporate Account, EAs and PAs can:
- Book for multiple executives from one central interface
- Manage and oversee multiple bookings at the same time
- Monitor and track vehicles collecting executives
- Maintain consistent booking preferences and instructions
- Access centralised billing, reporting, and invoicing
This removes the need to manage multiple individual accounts or separate payment methods.
VIP Profiles & Executive App Bookings (Corporate Accounts)
Corporate Accounts also allow EAs and PAs to set up VIP profiles for executives.
This means:
- Executives can download and use the passenger app
- Executives can make their own bookings under the corporate account
- All bookings still appear within the corporate dashboard
- EAs and PAs retain visibility and management control
This setup is ideal for:
- Executives who travel frequently
- Businesses that want flexibility without losing oversight
- EAs and PAs who want executives to self-book while remaining informed
Executives can book independently, while assistants can still:
- View upcoming and active bookings
- Track vehicles in real time
- Manage changes if required
- Oversee billing and reporting
Which Option Is Right for You?
Guest booking under an individual account is ideal if you:
- Book infrequently
- Manage a small number of travellers
- Want a simple setup with minimal administration
A Corporate Account is recommended if you:
- Book regularly for executives or staff
- Manage multiple travellers or departments
- Want tracking, reporting, and oversight
- Want executives to self-book while remaining under central control
Our team can assist with setting up Corporate Accounts and VIP profiles as required.
Passenger Communication & Privacy
For all booking types:
- Passenger contact details are used only for trip-related communication
- Chauffeurs do not request payment or booking changes from passengers
- All bookings are handled discreetly and professionally
After the Trip
Once the trip is completed:
- Payment is processed after the journey
- Receipts or invoices are issued to the individual or corporate account
- Passengers never need to make payment to the chauffeur
